End of Tenancy Deposit Process
Your deposit remains protected under the mydeposits Insured Scheme until the tenancy is formally ended.
When your tenancy ends and you have vacated the property, La Casa will manage the deposit return process on behalf of the landlord in accordance with the mydeposits Insured Scheme rules.
The process is designed to be transparent and gives both the landlord and tenant the opportunity to agree (or dispute) any proposed deductions before the deposit is fully released.
Step 1
Tenancy Ends & Check-Out Inspection
You vacate the property and return all keys.
Step 2
Inventory Report Reviewed
The landlord compares the check-in and check-out reports
Step 3
Landlord Confirms Outcome
Either a full refund is approved or deductions are proposed.
Step 4
Mydeposits Contacts You
You’ll receive an email asking you to review the deposit outcome.
Step 5
Deposit Returned or Dispute Raised
Accept the proposal, negotiate, or raise a formal dispute.
After you have vacated the property and returned all keys:
- An independent inventory clerk carries out a check-out inspection.
- The clerk prepares a detailed Check-Out Inventory Report.
- The report compares the property’s condition at the end of the tenancy against the original Check-In Inventory Report completed at the start of your tenancy.
The report includes photographs and notes documenting the condition of the property.
Step 2 – The Landlord Reviews the Inventory Reports
Once La Casa receives the Check-Out Report:
- We send the report to the landlord.
- The landlord reviews:
- Any photographs or supporting evidence.
- The original Check-In Inventory Report.
- The Check-Out Inventory Report.
3. The landlord decides whether:
- the property has been returned in an acceptable condition, or
- deductions from the deposit are being requested.
This review is based on the terms of your tenancy agreement and the condition of the property, allowing for fair wear and tear.
Step 3 – Two Possible Outcomes
Option A – Full Deposit Returned
The landlord is happy with the property’s condition.
No deductions are requested.
We will:
- End the tenancy on the mydeposits Insured Portal.
- Unprotect your deposit.
- Mydeposits will email you confirming the deposit has been released.
- Our Accounts Department will return your deposit by bank transfer using the bank details you have provided.
Result: You receive your full tenancy deposit.
Option B – The Landlord Requests Deductions
The landlord believes deductions are required.
They must provide evidence to support each deduction.
The landlord provides La Casa with:

A list of each proposed deduction.

A description explaining why the deduction is being requested.

The amount requested for each item.

Supporting evidence where applicable
Examples of supporting evidence may include:

Check-In and Check-Out Inventory Reports.

Photographs.
-
Contractor quotations or invoices.

Cleaning invoices.
-
Receipts for replacement items.

Relevant sections of the tenancy agreement.
Step 4 – La Casa Submits the Deposit Release Through mydeposits
Once we receive the landlord’s instructions, we will:

| Unprotect the tenancy deposit. | |
| Upload all supporting evidence provided by the landlord. | |
| Enter each proposed deduction and the amount requested. | |
| Submit the proposed deposit distribution through mydeposits. |
What Happens Next?
Mydeposits will send you an email explaining that:

Your tenancy has ended.

Your deposit has been released from protection.

The landlord has proposed deductions (if applicable).

You need to log into the Mydeposits deposit repayment process to review the proposal.
Step 5 – Review Your Deposit Through Mydeposits
You’ll receive an email from Mydeposits
Follow the secure link provided in the email.
Through the Mydeposits online repayment process, you can review:

The total deposit amount.

Any undisputed amount already being returned.

Each deduction requested by the landlord.

Supporting information and evidence submitted.
You Have Three Options
Option 1
Accept the deductions. If you agree with the landlord’s proposal, confirm your acceptance through mydeposits. The agreed balance of the deposit is released.
Option 2
Negotiate the deductions. If you do not agree with some or all deductions, you can propose a counter-offer through the mydeposits repayment process. The landlord can review and respond to your proposal.
Option 3
Raise a formal dispute. If an agreement cannot be reached, you can request that the disputed amount is referred to the free Alternative Dispute Resolution (ADR) service provided by mydeposits.
